No two books are alike.  More so, no two projects are alike.  The fee for indexing a book or any material depends on several factors, including but not limited to:

  • the type and subject matter of the book

  • density, i.e. average number of indexable terms per page

  • organization of the text

  • formatting requirements (sorting, run-in or indented, etc.)

  • number of pages allowed for index

  • duration of project

  • any special requirements, e.g. overnight courier

My preferred billing method is per-indexable-page.  My typical rates are between $3 and $5 per indexable page.  Depending on the project's parameters, I can go below or above that range or even switch to a different billing method as I see fit.  I understand that you or your company may also have another billing method (such as a fixed fee for the project), in which case, I'd be happy to negotiate.

The fee for any special requirements such as overnight courier would be tacked on as a fixed amount or percentage.   I have never had to mail out anything however as all files, both the text material and the index deliverable, have been electronic copies, pdf and rtf, respectively.

Repaginating the material after indexing has begun could also incur additional charges, depending on how far along I am in the process.

The best way to get a no-obligation quote for indexing your book is to email me some sample pages, say, 10 to 20 consecutive pages or a complete chapter, from somewhere in the middle of your book.  Pick a section that is representative of the entire book.

I also request that you provide certain information such as the subject matter and intended audience of the material, how much time I have, and any special requirements.

Once we agree on a quote, we can go ahead and write up the agreement/contract.  I will then need some or all of the following, as applicable:

  • page proofs (physical or electronic copy)

  • specifications and/or a sample index from previously published material

  • author's list of proper names (if available)

  • editor's style sheet (if available)

  • contact information, including author's, for clarifying questions and corrections (unless you specifically disallow contact with the author)
